1. Stanly Community College recognizes the sensitive nature of acknowledging circumstances in the event of the death of a current student. In an effort to ensure consistency in the acknowledgement of the deaths of current students, the following guidelines will be observed:

A. Upon notification of the death, such as by the family of the student, by local law enforcement, or by verification of an obituary, the College makes available grief counseling services within the area of Student Success. 

B. Upon notification and verification of the death of a current student, the Office of the Dean of Students will send condolences in the form of a card to the address on record of the student.

C. The College discourages employees from fundraising efforts on behalf of the families and friends of deceased students and encourages employees to direct families and friends to the Stanly Community College Foundation for inquiries related to scholarship or endowment fundraising.

2. In an effort to ensure consistency in the acknowledgement of events in the life of full-time employees the following guidelines will be observed:

A.    Retirement – Upon the retirement of a full-time employee, the division/department in which the employee worked shall receive $100 from institutional funds for a party to be held by the division/department . The head of the division/department shall notify the Director of Human Resources of the date and time for any party, and the Director of Human Resources will send the e-mail invitation to the group designated by the head of the division/department, whether to all employees or to a smaller group. In addition, the Director of Human Resources shall deliver to the retiring employee a Bookstore gift certificate totaling $10 for every year of service at Stanly Community College.

B.         In the event of the death of an employee, spouse, child, mother, father, sister, brother (or any other family member residing in the employee’s household), a floral acknowledgement not to exceed $100 will be made. At the discretion of the employee/family, however, a donation in a like amount may be directed to a charity of the employee’s/family’s choice.

i. The College discourages employees from fundraising efforts on behalf of the families and friends of deceased employees and encourages employees to direct families and friends to the Stanly Community College Foundation for inquiries related to scholarship or endowment fundraising.

ii. The College does not authorize individualized memorials such as plaques or memorial trees planted on campus. The College may, at the discretion of the President, designate a centralized location for a permanent recognition of full-time employees who die during their service to Stanly Community College.

C.    Upon notification of the death of other family members of an employee (to include brother-in-law, sister-in-law, son-in-law, daughter-in-law, mother-in-law, father-in-law, grandmother, grandfather, grandson, granddaughter, stepmother, and stepfather), a card of sympathy or note of condolence will be forwarded to the employee. Upon notification, a card of condolence will be forwarded to the family of a deceased, retired employee.

D.    It is the responsibility of the supervisor of the employee for whom an acknowledgement of care or condolence is to be made to notify the Executive Aide to the President. In the absence of the Executive Aide to the President, notification should be directed to the Human Resources Director. This will eliminate any duplication or exclusion of employee care or condolence on the part of the College in adhering to above outlined rules. It is also the responsibility of the supervisor of the employee to notify coworkers and other employees when deemed appropriate.

E.    Board of Trustees: Acknowledgements of care or condolence for members of the Board of Trustees will adhere to the guidelines established for the employees of the College.

F.    College Foundation Board of Directors and Friends of the College: Acknowledgements of care of condolence for the College Foundation Board of Directors and friends of the College (individuals who excelled in their support of the College) will be made at the discretion of the President of the College. Upon notification, a card of condolence or other appropriate response will be forwarded to the family of a deceased former foundation director or friend of the college at the discretion of the President of the College.
